A special needs register that’s always current.

Ordit’s special needs register is updated directly by Occupiers and dynamically linked to your evacuation plan, so auditors always see the current version and emergency services have it the moment they arrive.

WHY A LIVE REGISTER

A static register is not a safe register, and rarely an up-to-date one.

Registers go out of date the moment they’re completed.

A register filled out at handover stops being accurate the day an Occupier moves, recovers from an injury or develops a new condition, and the information ages quietly while everyone assumes it’s current.

Manual updates are unreliable.

Keeping a register current manually means chasing Occupiers, collecting paper forms and re-entering data, which most buildings don’t have the systems or the time for, so the register slowly drifts from reality.

Wrong information costs time when it matters most.

Emergency services need to know exactly who in the building requires assistance and where to find them, and an outdated register turns response into guesswork at the moment guesswork is most dangerous.

BENEFITS

What a self-managed, live register changes.

Occupiers update their own profile.

Occupiers log in via the building’s QR code or a direct link and update their floor, unit, evacuation requirements and preferred contact method themselves, with the manager notified each time a profile changes.

Linked to the evacuation plan, automatically.

Every profile update flows straight into the evacuation plan with no manual sync, so the plan reflects the building as it stands today rather than as it stood at the last printing. All automated data syncs are fully encrypted, ensuring personal information remains secure while keeping the master plan updated.

The current register, the moment it’s needed.

Auditors see timestamped entries that prove active maintenance, wardens enter every drill with the actual list, and emergency services scan the QR code to access the live register before they enter the building.

FREQUENTLY ASKED QUESTIONS

Common questions about the special needs register.

What information does the register collect?

Information relevant to safe evacuation (name, location, mobility requirements, sensory impairments, evacuation-relevant medical conditions, preferred emergency contact and number of occupants), with disclosure voluntary.

How is the privacy of Occupiers’ information protected?

Profiles are role-controlled and only accessible to building managers and authorised emergency services for safety purposes (other Occupiers and contractors have no access), in line with the Australian Privacy Act and relevant state legislation.

What if an Occupier doesn’t want to disclose their needs?

Participation is voluntary, so Occupiers choose what to share or not share, and the value of the register comes from information Occupiers provide willingly rather than from disclosure under pressure.

Every Occupier accounted for. Every plan current. Every audit answered.

A register that Occupiers maintain themselves is always more accurate than one a manager updates when they remember to. Ordit makes the accurate version the easy version.
